Terms & Conditions
How your trial, subscription, add-ons and credits work — and what happens to your records when you leave.
Version 1.0 · Published 24 October 2026 · Applies to new orders accepted under this version. You can save or print this page using your browser.
✓ Paid in advance
Subscriptions and purchased credits are paid in advance. Optional extras require an accepted price and charging arrangement.
✓ Clear cancellation
Cancel a monthly subscription before renewal. It ends at the close of the paid period, with no cancellation fee.
✓ Your business records
Request an export before closure. Return or deletion follows your instructions, subject to lawful retention.
1. Who these terms apply to
Workshop Pulse is operated by Uniauto SL, CIF B35569797, Calle Unamuno 27, Tahiche, 35507, Lanzarote, Spain (“we”, “us”). Contact: hello@workshoppulse.co.uk.
These terms cover Workshop Pulse subscriptions, trials, optional modules, vehicle-data services, credits and related support supplied to business customers. “You” means the garage or business ordering the service. A person ordering for a business must have authority to do so.
Your accepted order or written quotation identifies your plan, billing period, prices, any agreed minimum term and additional services. An expressly agreed order takes priority for those commercial details; the data-processing provisions below take priority for personal-data processing. These terms do not retrospectively authorise charges or replace a different existing agreement without agreement to the change. Any mandatory rights that apply to you remain unaffected.
2. Your 14-day free trial
Your trial starts when your workspace is ready for use, not when you first register. Estimated build time is 3–5 minutes; this is an estimate, not a guaranteed completion time.
Card details are required before activation. Adding a card does not itself authorise payment for unselected extras. No subscription payment is taken during the 14-day trial. Cancel before the trial ends, without a cancellation fee or commitment to continue.
The selected subscription and any agreed one-off onboarding fee become payable after the trial only where you have accepted the price and subsequent billing arrangement. We show or confirm those costs before you commit. If you have not accepted a paid arrangement, registration alone is not permission to start charging it.
Optional paid add-ons, credit purchases, messaging usage, supplier licences and separately commissioned work are not automatically free during a trial. They can be charged during a trial only when separately ordered or used under an expressly accepted paid rate and authorisation.
3. Subscriptions, advance payment and renewal
Subscriptions are paid in advance for each agreed billing period. Monthly subscriptions renew and are charged at the start of each monthly period unless cancelled in accordance with section 8. Any different fixed term or billing period must be expressly agreed in your order.
Prices and charges are stated in GBP (£). Your order, checkout or accepted quotation states whether VAT or other applicable tax is included or added. A one-off onboarding fee is separate from the recurring subscription.
Unlimited Employees means employee users for the licensed garage are included without a per-employee subscription charge. It does not include licences for additional businesses or workshop locations, unrestricted resale, or separately priced services.
We notify you of proposed recurring-price changes before they apply, so you can cancel before a renewal at the changed price. Changes do not retrospectively increase charges for a paid period or usage already purchased.
4. Optional add-ons and usage charges
Only the modules and allowances identified in your accepted plan are included. An add-on being available in the portal does not mean it is included in your subscription. An “Included in PLUS” label applies to that identified module, not to every supplier service, credit purchase or usage charge.
Before a paid extra is activated or ordered, its price or charging basis must be disclosed and accepted. This includes recurring modules, AI services, receptionist services, messaging, vehicle-data requests, supplier licences, onboarding, migration and bespoke work. An enquiry or request for a quotation is not an order.
Authorised business users may incur charges within the permissions and purchasing authority you give them. You are responsible for managing that authority and reviewing activity. Rates, units, allowances, billing frequency and any agreed spending limit govern usage charges; these terms are not permission for unspecified or unlimited charges.
Where your order permits advance payment or a credit balance is required, the relevant paid service may stop when the balance or agreed limit is reached. Selecting a new paid service requires its own price acceptance.
5. Credits and top-ups
Current standard packs are £1.50 per credit: 10 credits for £15, 25 for £37.50, or 50 for £75, with tax treatment and the final total shown or confirmed before purchase. A credit is a service unit, not necessarily one lookup; the applicable credit cost depends on the feature or data package.
- Credit purchases are paid in advance and are separate from your subscription.
- Unused purchased credits remain valid while your account stays active. Used credits are non-refundable.
- Unused credits are non-refundable when you close the account. Use them before closure. Credits are not transferable, redeemable for cash or a bank balance.
- A lookup may return limited data or no matching record. Any charge for that type of outcome must be identified in the applicable rate or purchase information; we do not charge solely on the basis of an undisclosed rule.
- If credits are incorrectly deducted, contact us so we can investigate and correct the balance where appropriate.
- Any promotional-credit restrictions must be disclosed when offered.
These restrictions do not remove any refund or other remedy required by law, or a remedy for an incorrect charge or failure to supply the purchased service.
6. Permission to charge your payment method
When you expressly accept an order and its payment arrangement, you authorise us and our payment provider to charge the payment method supplied for:
- your selected subscription, paid in advance on the agreed renewal dates;
- recurring add-ons you have selected, at their agreed price and frequency;
- credit packs or other one-off purchases you confirm;
- usage you authorise under a disclosed rate, billing arrangement and any agreed limit; and
- other services or fees you expressly accept in a written order or checkout.
This is a limited authorisation for agreed charges. Saving a card or accepting these terms does not authorise unselected add-ons, arbitrary fees or unlimited top-ups. We provide a receipt, invoice or billing record for charges. Payment authentication may be required by the payment provider.
You may withdraw a recurring payment authorisation for future charges by contacting us and may also exercise your rights with your payment provider. Withdrawing a payment authority does not itself cancel the service contract or remove charges already properly incurred; please also request cancellation under section 8.
7. Automatic top-ups
Automatic top-ups require separate, express opt-in. The agreed arrangement must state the trigger balance, pack or amount, charging method and any agreed limit. Manual credit purchases do not enable automatic replenishment.
You can withdraw the top-up authority for future purchases by contacting us, or through an available account control. This does not reverse a top-up already properly purchased or usage already incurred. Changing an amount or limit requires acceptance of the revised arrangement.
8. Cancellation and refunds
Monthly subscriptions can be cancelled with effect at the end of the current paid billing period, without a cancellation fee. Request cancellation before the next renewal by emailing hello@workshoppulse.co.uk from your account email, identifying your business and the subscription or add-on to cancel. You may also use an available account cancellation control.
We acknowledge the request and confirm the effective date. A timely, identifiable cancellation request is not made late because we acknowledge it later. If a renewal is wrongly collected after a valid cancellation took effect, we correct it.
Unless a different arrangement is expressly agreed, access continues until the end of the paid period. Advance subscription payments are not refunded pro rata merely because you stop using the service part-way through that period. Any separately agreed fixed-term service follows its disclosed cancellation terms.
Cancellation stops future recurring charges from its effective date. It does not remove charges for authorised usage, credit purchases or work already properly supplied. Onboarding or bespoke work must be separately agreed; any refund depends on the work supplied and applicable law. Credits follow section 5. Cancelling a separate add-on does not automatically cancel the main subscription, and vice versa unless it is included in your request.
Nothing here excludes a refund, correction or other remedy required by law, including for an unauthorised charge or service not supplied as agreed.
9. Your records and data
You retain your rights in the business content you provide, subject to the rights of individuals and third-party licensors. We do not acquire ownership of your customer records because you use Workshop Pulse. We may host, organise, transmit and process that content to provide the services you instruct us to perform.
You are responsible for the lawful collection and use of customer and employee information, accurate contact details, required notices, retention decisions and the permissions needed for messages, images, recordings and AI processing. Use account permissions appropriately and protect login details.
For personal data processed on your behalf, your business normally acts as controller and we act as processor. We act as a controller for our own account administration, billing and other purposes described in the Privacy Policy. The roles depend on the actual processing, not only these labels.
10. Processing personal data on your behalf
These provisions apply where we act as your processor, for the duration of the service and the return, deletion or legally required retention that follows it.
| Purpose and activities | Providing and supporting your workshop workspace: storing, organising, retrieving, exporting and transmitting records, and operating features you instruct us to use. |
|---|---|
| Individuals | Your customers, prospective customers, employees, contractors and business contacts whose information you put into the service. |
| Information | Contact and account details, vehicle-linked customer information, bookings, service and job records, invoices, payments recorded in the system, communications and attachments. Do not upload special-category data unless we expressly agree an appropriate arrangement. |
| Your instructions | Your accepted order, configuration, authorised use and subsequent documented instructions. You decide the lawful purposes, recipients, accuracy and retention of your workshop records. |
- We process that data only on your documented instructions, including for transfers, unless law requires otherwise. We inform you of a legal requirement before processing where permitted, and alert you if an instruction appears to infringe applicable data-protection law.
- Personnel authorised to process it are subject to confidentiality obligations. We apply technical and organisational measures appropriate to the risk, and restrict access to what is necessary for the service.
- We assist you, taking account of the processing and information available to us, with individual-rights requests, security obligations, breach notifications, impact assessments and any required prior consultation.
- We notify you without undue delay after becoming aware of a personal-data breach affecting data processed on your behalf, and provide available information to support your response.
- We provide information reasonably required to demonstrate these obligations and allow and contribute to appropriate audits or inspections by you or your mandated auditor, subject to arrangements protecting other customers and system security.
- Return and deletion follow section 11. Legal duties to retain particular information remain applicable.
You generally authorise the service providers necessary to deliver the services you order, subject to equivalent written data-protection obligations where they act as sub-processors. We make current provider information available on request and inform you of intended additions or replacements so you have an opportunity to raise a reasonable data-protection objection before the affected processing changes. We remain responsible for our sub-processors’ performance of their applicable processing obligations.
Payment, messaging, vehicle-data, hosting and AI services may involve external providers. Some providers act as independent controllers for particular purposes. Any restricted international transfer must use an applicable lawful transfer mechanism and safeguards; these terms do not waive that requirement. Separate provider terms or a more specific processing agreement may also apply to an optional connection.
11. Export, return and deletion when you leave
Request an export before your account closes. Contact us from your registered account email to arrange the available export formats and any separate attachments. If you need bespoke migration or conversion, we explain any separate quote before you order it.
At the end of services, we return or delete personal data processed on your behalf on your documented instructions and delete existing copies, unless law requires retention. We agree the practical arrangements with you; these terms do not promise a fixed export or deletion deadline.
Records required for billing, tax, legal claims or another lawful obligation may be retained for the relevant purpose and period. Protected backup copies are restricted from routine use and removed through the applicable backup lifecycle, subject to legal requirements; if a backup is restored, the applicable deletion instructions must be reapplied. Deletion may be irreversible, so arrange and check your export before requesting it.
Account closure is not a substitute for keeping the business records your garage is required to retain.
12. Vehicle data, AI and accounting outputs
Vehicle information depends on provider coverage, availability and the records returned at the lookup time. Cached responses may be reused. MOT history and recorded mileage are historical; they do not certify a vehicle’s present condition or replace an inspection.
AI extraction, quotations, diagnostic assistance and receptionist outputs require appropriate human review. Check supplier references, parts, quantities, prices, VAT, repair recommendations and customer-facing information before relying on or sending them. Workshop Pulse does not replace your technician’s professional judgment or your accountant’s advice.
Exports must be checked against the receiving software’s format and your accountant’s requirements. A supported export route does not by itself promise live two-way synchronisation. Supplier licences and third-party terms govern their underlying data and permitted reuse.
13. Email, WhatsApp and customer contact
You are responsible for lawful messaging, customer preferences and any consent, opt-out or other permissions required for the communication. Do not use the service for unsolicited or unlawful campaigns.
Automated reminders use the dates, schedules and contact details held in your records and the connected messaging service. WhatsApp Business templates and provider rules may apply. Valid contact details, approved templates where required, connection availability and sufficient authorised balance affect delivery. A scheduled or sent message is not a guarantee that it will be delivered, read or result in a booking.
Communication and receptionist usage can have separate agreed charges. Stopping messaging authority does not itself cancel your main subscription.
14. Responsible use and service interruptions
Use the service lawfully and within your order and provider licences. Do not access another customer’s records, bypass controls, upload malicious material, resell provider data without permission or give users authority you do not intend them to have.
We provide the service with reasonable care and skill. Maintenance, connectivity and third-party availability can affect it; a particular uptime commitment applies only if expressly agreed. We may proportionately restrict affected services to protect security, comply with law or address non-payment, informing you and allowing a reasonable opportunity to resolve the issue where practicable.
If a payment fails, we may request a valid method or retry an already authorised charge in accordance with the payment arrangement. A failed payment does not permit us to add an undisclosed penalty or purchase another product for you.
15. Changes, problems and mandatory rights
Material changes are notified before applying to future renewals or new orders. A new version is not authority to increase an already agreed charge retrospectively. Where a change needs your consent, we obtain it. You may cancel before the affected monthly renewal if you do not wish to continue.
Contact hello@workshoppulse.co.uk promptly about billing errors, service problems, cancellation or data requests. Give your business name, account email and relevant invoice or transaction reference; do not email full card details or passwords.
Nothing in these terms excludes liability or rights that cannot lawfully be excluded, including liability for fraud or death or personal injury caused by negligence. These terms do not override applicable data-protection law or any mandatory consumer rights that apply to a transaction.

Comfortable using a website? You’re ready to get started.

Use the help you need to get comfortable with the system. This allowance is included in your onboarding package, not an additional training-day charge.

Human support and training are delivered remotely, including remote access where agreed, Monday–Friday, 9am–5pm GMT (UTC+0). On-site visits are not included.
✓ Support to suit your plan
Core: additional assisted support or training beyond the seven-hour allowance is chargeable, with the price agreed before work begins.
Plus and Pro: ongoing support is included, with AI assistance available 24 hours a day, seven days a week and human intervention during the office hours above. The seven-hour allowance applies to initial onboarding and training.
Complex migration, bespoke integration work and third-party charges remain subject to an agreed scope and separate quotation where applicable. See our managed migration guide.
