Virtual receptionist / connected to your workshop
Let her take the call.
You take a break.
A programmable 24/7 receptionist that answers routine enquiries, manages approved booking changes and keeps your customer conversations connected to your CRM—while you get on with the work.
For workshops first. Other businesses and CRM connections can be scoped to suit.
The real reason to buy
Your time is worth more
than another interruption.
A ringing phone should not mean putting down the tools, losing your place or giving up your lunch break. Routine callers still need a clear answer and a useful next step.
Keep your hands on the job
Let routine calls be handled while you work, speak to a customer or take a proper break. Fewer interruptions mean more time to finish the work already on your ramp.
Give enquiries somewhere to go
A customer calling after hours can leave a useful message or arrange an available appointment. Their enquiry becomes an action your team can follow, rather than another voicemail to reconstruct.
Add cover without another salary
Reception capacity without recruiting an additional receptionist or arranging shift and holiday cover. Subscription and usage fees apply; staff still handle specialist work and exceptions.
How the system works
A conversation becomes
an action.
It follows the workflow you agree with us. It checks the information available, confirms the details, then records the result.
A customer calls
Your greeting, chosen language and agreed routing welcome the caller.
She checks the request
Caller-ID matching and your CRM help identify the customer. Missing details are collected.
The caller approves
Booking changes, messages and document requests receive one clear read-back.
The next step is recorded
Enabled actions are saved to the CRM. Staff transfers or messages cover requests that need a person.
More than answering the phone
Useful answers.
Practical outcomes.
The core workflows below can be configured for a supported CRM connection. Each business’s rules and permissions are agreed during setup.
Recognise returning callers
A unique caller-ID match prompts a first-name check. The confirmed name stays with the conversation; vehicle details are requested before accessing records.
“How is my car getting on?”Book, amend and cancel
Check real appointment capacity and create or change bookings within your agreed rules. Late cancellations or exceptions can go to staff.
“Can I move my booking to Friday?”Share the right job update
Use saved customer-facing progress and notes. Say a vehicle is ready only when its saved status confirms it. Internal staff notes stay private.
“Is my car ready to collect?”Send existing documents
Offer an issued invoice or quote, including existing payment details where available, to the customer’s saved CRM email after approval.
“Please email me my invoice.”Confirm collection or drop-off
Record how the vehicle will arrive and the confirmed collection address when required. Give staff the information they need for the handover.
“I need the vehicle collected.”Take a useful staff message
Capture the callback details and message once. Read them back briefly, save after approval and give a message reference.
“Please ask the team to call me.”Offer a person when needed
Transfer to your approved staff number. If the call is unanswered, offer a message instead of promising a callback time.
“Can I speak to someone?”Accept updates around the clock
Customers can update booking arrangements or leave fresh callback details at any hour. Confirmed enabled actions are recorded; profile edits outside those workflows are passed to staff for review.
“My collection arrangements have changed.”Clear about channels: this service handles telephone conversations. Final WhatsApp confirmations are currently sent by staff. Automatic WhatsApp delivery, SMS handling and other messaging channels are separate integrations and are not included as live features here.
A little less noise
Take a break.
Keep the next step moving.
The aim is a clear outcome for routine requests—booked, updated or passed to the right person—with your team focused where it matters.
Without reception cover
- Calls interrupt a repair or face-to-face customer.
- Out-of-hours enquiries wait for someone to listen back.
- A number and message are scribbled down separately.
- Staff repeat information already held in the CRM.
With your virtual receptionist
- Routine calls follow your agreed workflow.
- Useful details can be captured around the clock.
- Confirmed messages and enabled booking actions are recorded.
- Exceptions reach staff with a clear next step.
A straightforward service price
24/7 virtual receptionist
+ £299 one-off setup
- Greeting and English/Spanish voice setup
- Agreed booking and call-handling rules
- Supported CRM connection and staff handoff
- Acceptance checks before going live
Calling and AI usage are charged separately. An active Workshop Pulse CRM subscription is required for the integrated workflows and is not included in this price. Other systems require a scoped quotation. Taxes, if applicable, are additional. Usage rates, service scope and billing terms are confirmed in writing before activation.
What is one missed
booking worth to you?
Buy it to protect productive time and give routine callers a way forward—not because a software service can replace every human conversation.
In this illustration, three additional jobs contributing £50 each produce £150—slightly more than the £149 monthly service fee.
Illustration only, not a forecast or savings promise. Contribution means revenue left after the job’s direct costs. Setup, call/AI usage, CRM subscription and any taxes are excluded from this comparison. The first month’s service and setup total is £448 before those extras.
Programmed around your business
Your receptionist.
Your way of working.
Agree the workflow
We define the greeting, languages, booking rules, customer checks, permitted actions and when to involve staff.
Connect and test
We check the supported CRM connection and run representative calls before enabling the agreed workflows.
Go live with a handover route
Your team retains control of exceptions, private notes and tasks that still need a person.
Before you decide
Clear expectations.
Does “24/7” mean staff must be available all night?
No. The receptionist can be configured to answer around the clock. Staff availability and the handover route are agreed during setup. Unanswered transfers fall back to taking a message. Service depends on the availability of the connected telephone, AI and CRM systems.
Can it change every customer detail automatically?
It can save approved actions within the enabled workflows, such as booking changes and staff messages. Updated callback details can be captured at any time. Other customer-profile edits are passed to staff for review unless a specific update workflow has been agreed and enabled.
Is automatic WhatsApp delivery included?
No. Staff currently send final WhatsApp confirmations. Automatic WhatsApp delivery, SMS and other messaging integrations need separate setup and provider approval where applicable.
Will it replace every receptionist or member of staff?
No. It is designed to cover routine telephone reception tasks without an additional receptionist hire. Complex questions, disputes, specialist advice and exceptions remain with your staff. It does not take card payments or invent prices or completion times.
Is this the same as the AI assistant on the existing plans page?
No. This page describes telephone reception connected to customer workflows. The existing workshop-question and diagnostic assistant is a different feature. The virtual receptionist is a separately priced service; your quotation will confirm the complete package.
Can another kind of business use it?
Yes, a workflow can be scoped for another business. Supported actions, record access, integration work and pricing must be confirmed for that setup; this is not a promise of a ready-made connection to every CRM.
How do I buy it?
Start with a tailored demonstration and written quotation. Payment will use the dedicated provider selected for this service, not the current website checkout. No payment is taken by this enquiry page.
