Capture it once.
Put it to work.

Turn supplier paperwork into useful workshop data. Capture an invoice, review the details, receive the parts into stock and use them on your customer’s invoice — within your Workshop Pulse workflow.

Built into Workshop Pulse. One place to manage the work, with an optional AI Invoice Reader to cut down the typing.

✓One workshop workflow

Purchases, parts and customer billing belong together.

✓Less repeated typing

Review captured details and reuse saved records.

✓Keep your accountant

Prepare export packs for the software they already use.

Two routes. The same paperwork.

From invoice in
to invoice out.

Manual entry asks you to key the same parts and prices into several places. Workshop Pulse connects the purchase, stock and job records so approved information can do more of the work.

Illustrative planning example, not a measured benchmark or a guaranteed saving: one clear, ten-line supplier invoice; familiar parts; a configured AI service; and a related job ready for billing. Includes a human review. Poor images, unusual invoices, new parts, tax checks and corrections take longer. AI processing time and service availability vary.

What could that mean in your workshop?

Uses the example above: 12 minutes manually versus 3 minutes with AI-assisted review. Excludes receipts-only entries.

33 hours

90 minutes per day · 75% less entry time in this example

Receipts and expenses need less typing too.

For a clear, single-entry expense receipt, an illustrative allowance is 4 minutes manually versus 1½ minutes with AI-assisted capture and review. Record the supplier, date, amount and tax treatment, then check the result. Expense-only receipts do not need a stock receipt or a customer invoice; use the route that fits the purchase.

This is a separate planning estimate, not an observed product performance result. Supported document types and your tax treatment are confirmed during setup.

All within Workshop Pulse

Your parts desk and accounts desk.
Working from the same records.

No juggling separate capture, stock and invoicing apps to complete this workflow. Your team uses the tools within Workshop Pulse, with an AI service configured for the optional Invoice Reader.

01 / CAPTURE

✓AI image capture

Photograph or upload a supplier invoice. The AI Reader prepares data for review instead of making you start with an empty form.

02 / PURCHASES

✓Purchase invoices in order

Keep supplier details, purchase references, line costs and source documents together so the team can find what was bought.

03 / STOCK

✓Receive parts into stock

Review the purchase and receive eligible lines into the parts catalogue, recording quantities and purchase costs.

04 / CONTROL

✓A traceable stock movement

Link the stock receipt to the purchase. Receipt checks help prevent the same purchase lines being received twice.

05 / BILLING

✓Use the parts on the job

Select saved parts for workshop jobs and customer invoices. Keep purchase cost and selling price visible in the workflow.

06 / HANDOVER

✓A cleaner accountant handover

Export posted ledger transactions, line-level data and payments for a chosen period, with a summary and export manifest.

AI assists data entry; your team approves the result. Check quantities, supplier references, VAT and account codes before posting or exporting.

Your workshop. Your accountant’s software.

Keep the accounting package.
Lose the retyping.

Workshop Pulse prepares accounting export packs from its posted ledger. Choose the provider and period, download the pack, review the mappings and hand it to your accountant or import the supported files.

01 / SELECTChoose a period

Export the posted transactions for the dates you need.

02 / PACKAGEChoose your software

Get mapped files where available, plus the universal pack.

03 / REVIEWCheck the mappings

Confirm VAT codes, nominal codes, contacts and file format.

04 / HAND OVERImport or share

Your accountant can check the files and complete the handover.

These are export routes, not a claim of live two-way synchronisation or a certified partnership. Xero, QuickBooks, Sage and Clear Books have additional mapped files. FreeAgent, IRIS KashFlow, Zoho Books, QuickFile and VT Transaction+ receive the universal pack for accountant-led mapping or conversion; direct import into every product or edition is not guaranteed. Confirm the import template and subscription requirements before using a pack.

Every pack carries the supporting detail.

Only posted transactions are exported. A VAT summary supports review; it does not by itself submit a return. Accounting subscriptions and accountant services remain separate.
